About the Position
We are seeking an experience Executive Assistant to provide dedicated support to our executive leadership team during a 12-month maternity coverage leave. This role is best suited for someone who is highly organized, detail-oriented, and able to manage multiple priorities with ease. The position follows a hybrid work model, offering flexibility to work from home while requiring a minimum of one in-office day per week and additional presence as needed for meetings.

Key Responsibilities

  • Manage executive calendars, schedule meetings, and coordinate travel arrangements
  • Serve as a main point of contact between executives and internal/external partners
  • Draft and prepare documents, presentations, and correspondence
  • Organize meetings, prepare agendas, take notes, and track follow-up items
  • Handle confidential information with professionalism
  • Assist with research, reporting, and special projects as needed
  • Track project deliverables and follow up on action items
  • Coordinate and arrange special events such as off-site meetings, leadership retreats and executive sessions.

Qualifications

  • Minimum 5 years of experience in an Executive Assistant or senior administrative role
  • Strong communication skills in English; French fluency is an asset
  • Proficiency with Microsoft Office and online meeting tools (Teams)
  • Ability to prioritize, work independently, and adapt to changing needs
  • Proficiency in Microsoft Outlook, PowerPoint and demonstrated ability to use AI productivity tools (e.g. Microsoft Copilot).
  • High organized and time management skills with the ability to manage multiple priorities, deadlines and multiple conflicting priorities
