SKILLS AND EXPERIENCE:

  • Proven experience as a Executive Assistant, working at a Senior Executive level.
  • Excellent administrative attention to detail and organisational support with the ability to plan and prioritise.
  • Experience in the Financial Services Sector, dealing with any of life insurers, banks and pensions schemes.
  • Excellent IT skills including advanced Outlook, advanced Word, intermediate Excel, advanced PowerPoint as well as AI (Copilot etc)
  • Excellent time management
  • Ability to manage a high volume workload and deliver to a consistently high standard under pressure, maintaining accuracy whilst achieving timescales.
  • Ability to liaise at all levels with excellent communication skills, in dealing with the most senior of internal and external contacts and exercising diplomacy and discretion at all times.
  • Ability to work on own initiative with a highly flexible attitude, whilst maintaining a high degree of confidentiality.
  • Ability to work productively under pressure, whilst maintaining a calm and professional approach.
Responsibilities

ABOUT THE ROLE:

We have an unique opportunity for a tech savvy Executive Assistant to support a core business area, by providing a professional, timely and efficient service to one of our Managing Directors.
This would be great opportunity for someone already working as an Executive Assistant within financial services, looking to develop and join a growing FTSE 250 business.
As an Executive Assistant, you will act as liaison to the Board, Directors and Senior Management teams as well as enhancing the Managing Director’s operational tasks, including but not limited to, co-ordinating and preparation of agendas, reports, presentations, information management, briefing notes, diary management and supporting their wider SLT.

KEY RESPONSIBILITIES:

  • Support the MD by providing full EA support, including all incoming correspondence (including emails) and action and/ or delegate as appropriate, as well as work of a highly confidential and sensitive nature
  • Follow up on required business items to progress actions and ensure outcomes are achieved and ensure the MD meets all required deadlines.
  • Proactively manage and control the Executives diary and resolve any scheduling issues, including ensuring sufficient time to complete the Executives priorities and optimise the Executives’ time spent in the office
  • Organise external stakeholder meetings as needed, liaising with relevant attendees for effective and optimal scheduling, and general smooth running of the meetings.
  • Arrange travel and accommodation for business trips ensuring these are in-keeping with our travel and sustainability policies.
  • Support in organising divisional/ team off-sites where required - sourcing venues, controlling and monitoring the contracts and budgets.
  • Processing of expense claims, ensuring these adhere to Company policy.
  • Work as part of the wider Executive Assistant team, ensure consistent delivery across the Executive team, ensuring the Executive team are working collectively and receiving sufficient time with one another, as well as providing holiday cover for other Executive Assistants
