EDUCATION AND QUALIFICATIONS:

  • High school diploma required; Bachelor’s degree in Marketing, Communications, Business Administration or related field preferred.
  • Minimum 10 years of overall professional experience, with at least 3-5 years of direct experience supporting C-Level Executives and board members.
Responsibilities
  • Assist CEO with a broad variety of administrative tasks, including managing an active calendar of appointments and meetings; drafting and preparing communications that may at times be confidential; preparing presentations, reports and materials for meetings; scheduling and arranging detailed travel plans, itineraries and agendas; and completing expense reports.
  • Serve as the liaison to the board of directors, maintaining and updating board-related documents and files; managing meetings, including scheduling and sending reminders; and organizing meeting space, meals, supplies and equipment needs.
  • Attend meetings with or on behalf of the CEO, whether in person or virtual, and serve as the CEO’s representative or proxy in communications and at events or meetings, taking notes and recording minutes as needed.
  • Provide “gatekeeper” and “gateway” role, planning, coordinating and ensuring the CEO’s schedule is organized, prioritized and respected, creating win-win situations for direct access to the CEO’s time and focus.
  • Communicate directly, and on behalf of the CEO, with Board members, donors, staff, and others, on matters related to CEO’s programmatic initiatives and priorities.
  • Receive incoming communication or memos on behalf of the CEO, review contents and determine appropriate course of action, referral, or response.
  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting individual employees, board-related matters or strategic operations of the organization.
  • Work closely with the CEO to keep him well informed of upcoming commitments and meetings, providing insights, research, intelligence and updates, and acting in the way of a “barometer,” having a sense for the issues taking place in the environment and/or office and keeping the CEO updated.
  • Prioritize conflicting needs, managing matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures.
  • Research, draft and prepare Word, Excel, PowerPoint presentations, agendas, reports, correspondence, special projects and other documents as needed.
  • Supervise and coordinate overall administrative and CEO’s office tasks including maintaining records, ordering supplies, mailing/shipping and performing basic bookkeeping.
  • Complete ad hoc projects as assigned or other duties as needed in carrying forward the mission of KINF.
  • Attendance at and occasional travel to key events, which may include some nights and weekends.
