Position Summary: The Executive Assistant supports the execution of day-to-day activities, scheduling, and project documentation related to the Program Operations unit. This role provides primary support to the Chief Program Officer (CPO) as well as the Program Operations Director and the Quality Director. The Executive Assistant aids in the effectiveness of the Program Operations Unit through coordination and monitoring of deliverables. This position also advances leadership in these areas by scheduling and/or supporting trainings, meetings, or other internal/external workgroups. The Executive Assistant will monitor the CPO and Program Operations Sr. Leadership communications, to ensure follow up to emails, phone calls, and other communications occur in a timely manner and on a regular basis. The Executive Assistant functions independently in identified work outcomes, including some communications with the Department of Health Services (DHS). In addition, the position will support key initiatives for this unit and is responsible for contributing to performance excellence by ensuring advancement and follow through of deliverables. This role may also participate in development of presentations and tracking of data for specific projects, as well as initial development of pertinent communications for divisional staff. Responsibilities & Competencies: Attend meetings to manage workflow, work assignments, and scheduling for Program Operations Senior Leadership (Executive and Director). Organize and manage timely deliverables through drafting weekly summaries of activities and assess status and progress of projects or requests. Identify time barriers or risks to work outcomes and communicate these to appropriate leader. Ability to prioritize tasks at an executive and director level, understanding key areas that require immediate attention. Actively support continuous improvement through ongoing evaluation of systems, meetings and identify opportunities to streamline communications and work. Administratively lead work in the External Quality Review (EQR), Certification, and Business Plan preparation/processes. Assist in responding to external information requests about Lakeland Care, Inc. (LCI) or its members by organizing documents and coordinating files for submission to DHS. Support divisional policy, procedure, and Standard Operating Procedure (SOP) management. Requirements Associate degree in Administrative Services, Project Management, Communications, or other related field preferred, or equivalent combination of education and experience (includes knowledge, skills, and abilities). Minimum of five (5) years’ experience in an administrative role, with progressively increasing responsibilities. Current or previous LCI Administrative Services Assistant experience preferred. Demonstrated ability to work independently and maintain confidentiality related to leadership issues and member care issues. Demonstrated proficiency with MS Office Suite and willingness to learn new software applications. Ability to communicate with ease with DHS contractors, members, guardians, or external stakeholders. This includes writing skills. Ability to navigate difficult discussions with courage and support leaders in achieving outcomes. Proficient in obtaining, organizing, and analyzing data to make fact-based decisions, drive root cause analysis, and evaluate outcomes. Servant minded focus with excellent interpersonal and exceptional management skills. Strong organization skills with the ability to prioritize duties required.
