We are seeking an Executive Assistant (EA) who will be a high-level, proactive administrative and operational support to the Firmwide Managing Principal, the Management Committee, and the C–Suite leaders. The EA will serve as a critical partner to leadership, coordinating both administrative and strategic functions across departments. This team is seeking an experienced EA with a proven ability to deliver high-quality work while seamlessly managing the day-to-day needs of senior firm leadership, anticipating needs, preparing materials for decision-making, managing complex schedules and priorities, coordinating sensitive communications, and serving as a trusted liaison to internal and external stakeholders. This position requires exceptional judgment, confidentiality, organization, and professionalism and will have regular interaction with Firm leadership, clients, and business professionals at all levels. Requirements Executive Support • Support the Firmwide Managing Principal, the Management Committee, and C-Suite leaders by managing a range of administrative duties including creating and managing various documents such as correspondence, memos and presentations, ensuring they meet the highest standards of accuracy and clarity. • Manage complex calendars, including scheduling meetings, conference calls, client engagements, travel, and internal events. • Prioritize and coordinate competing demands to ensure the Firmwide Managing Principal, the Management Committee, and C-Suite are supported accordingly. • Manage, organize, and distribute agenda and supporting materials for Shareholder and Management Committee meetings; maintain meeting minutes and vote tallies, and save all materials in appropriate workspace on the Firm’s document management system. • Manage and organize records, files, and documents efficiently, implementing robust record-keeping methods to facilitate easy retrieval of Firm material. • Support Firmwide Managing Principal and Talent team on logistics and materials for strategic growth initiatives. Operational & Administrative Support • Coordinate logistics for internal and external meetings and events, including materials preparation, technology setup and testing, catering, and follow-up actions. • Support budgeting, invoice processing, expense reporting, and financial tracking. • Assist with special projects and initiatives related to firm operations, governance, business planning, and strategic priorities. Leadership & Stakeholder Coordination • Serve as a point of contact between the Firmwide Managing Principal/C-Suite and attorneys, business professionals, clients, vendors, and external stakeholders. • Build strong working relationships across departments (Finance, HR, IT, Marketing, Talent, Administration, Practice Group Leaders, etc.). • Facilitate timely communication flow, ensuring executives are informed and aligned on Firm priorities. Project & Initiative Support • Coordinate cross-departmental initiatives, ensuring deadlines are met and progress is tracked. • Support planning and execution of leadership meetings, retreats, events and firmwide communications. • Maintain awareness of legal industry dynamics and law firm operational practices. Required Skills and Competencies • Bachelor’s degree or higher from an accredited institution. • 5-7 years of executive assistant experience, preferably supporting senior leadership or C-Suite executives; law firm or professional services experience strongly preferred. • Demonstrates the highest level of integrity, discretion, and professionalism in handling confidential and sensitive information • Exercises sound independent judgment and serves as a trusted gatekeeper for executive time, communications, and priorities • Demonstrates strong understanding of organizational priorities, executive decision-making, and business context • Demonstrates a self-starter mindset with the ability to take initiative and work independently • Applies strong analytical, organizational, and problem-solving skills to manage complex tasks • Demonstrates excellent time management skills with the ability to balance competing priorities and meet deadlines in a fast-paced environment • Communicates clearly and effectively, both verbally and in writing, with individuals at all levels of the organization • Collaborates effectively across departments and builds strong working relationships • Demonstrates advanced proficiency in Microsoft Office 365, collaboration tools, document management systems such as iManage, and virtual meeting platforms • Maintains flexibility to work occasional overtime, early mornings, or evenings to support executive and firm needs • Ability to lift up to 30 pounds (full banker box weight). Work Environment Hybrid model with a minimum of three in-office days per week. Some travel may be required for training and meetings. Compensation In accordance with applicable pay transparency laws, the base salary range for this position base salary range for this position is $90,000 to $130,000 annually (non-exempt) depending on qualifications and experience. This is a non-exempt position and is eligible for overtime.
