Responsibilities

WHAT YOU WILL DO

  • Draft and manage all required correspondence and ensure the execution of various mandates across departments.
  • Serve as a key point of contact for the Executive Vice President, managing and distributing requests as needed.
  • Coordinate executive meetings, including the preparation of necessary documents and/or presentations.
  • Create and format letters, presentations, and reports for various stakeholders—executive team members, board members, external partners—using Microsoft Office tools.
  • Proactively identify and report any obstacles or blockers.
  • Manage the Executive Vice President’s calendar efficiently, including travel arrangements.
  • Maintain an organized and effective filing system.
  • Monitor and prioritize tasks, ensuring the quality and efficiency of existing processes.
  • Facilitate the execution of the Executive Vice President’s responsibilities.
  • Participate in special projects and initiatives.
  • Translate various communications when required.
  • Prepare, track, and follow up on expense reports and account payments.
  • Synthesize information from various stakeholders and executives.
  • Draft various publications, editorials, and speeches.

THIS ROLE COULD BE FOR YOU IF YOU HAVE

  • Minimum of 5 years of experience in an executive support role.
  • Diploma of Vocational Studies (DEP) or Attestation of College Studies (AEC) in a relevant field.
  • Experience in a legal department or law firm is an asset.
  • Exceptional time management, attention to detail, and organizational skills in a fast-paced environment.
  • Proven ability to prioritize and meet multiple and/or unexpected deadlines.
  • Strategic thinking combined with problem-solving skills and a proactive, solution-oriented mindset.
  • Demonstrated discretion and confidentiality.
  • Creativity, autonomy, and versatility.
  • Strong sense of organization, responsibility, and political acumen.
  • Excellent interpersonal skills and adaptability.
  • High attention to detail and integrity.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel).
