We are looking for an Executive Assistant to join our highly successful team in our Litigation Practice Group at Arthur Cox Dublin. Someone who has a very strong work ethic, business acumen and a strong desire to work for a leading law firm.

REQUIREMENTS:

  • Experience assisting with the management of medical negligence, personal injury, product liability and healthcare litigation.
  • Proficiency in AML procedures for client onboarding and document management systems.
  • Working knowledge of Elite 3E and other legal practice management software.
  • Strong organisational skills with attention to detail and the ability to manage multiple tasks under tight deadlines.
  • Proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint).
  • Excellent communication skills, both written and verbal.
  • Willingness to be flexible to the needs of the business.
Responsibilities
  • Provide comprehensive administrative and secretarial support to partners and senior associates in the Litigation Department team.
  • Manage the billing process, including time entry, invoicing, and follow-up on outstanding payments.
  • Liaise with the firm’s finance department regarding the management of client accounts and transaction-related payments.
  • Manage AML requirements for client onboarding, ensuring all procedures are followed.
  • Manage auditing requests for clients.
  • Maintain and organise physical and electronic files, ensuring all records are up-to-date and easily accessible.
  • Coordinate and manage communication with clients and other stakeholders.
  • Arrange meetings, conference calls, and travel itineraries.
  • Prepare, proofread, and format a variety of legal documents, including agreements, pleadings, correspondence and other related documents.
  • Other administrative tasks as required.
