SPECIAL REQUIREMENTS:

Applicants must be Australian Citizens and are required to hold and maintain AGSVAR security clearance to NV1.
International Traffic in Arms Regulations (ITAR) are applicable and as such, your citizenship (including dual citizenship) may be a factor in determining your suitability for this role.
Employment may be contingent on the satisfactory result of criminal and/or other background screens, which require the collection and transfer of personal information.

Responsibilities:

  • Proactively manage the Directors email inbox and other correspondence to ensure timely responses and highlighting matters requiring immediate attention
  • Proactively manage the Directors calendar to ensure competing demands are effectively managed
  • Support the Director in the preparation, review, distribution, and approval of Agendas, Meeting Papers, and other documentation
  • Follow up matters and actions arising at meetings
  • Ensure confidential and sensitive documentation is managed with appropriate discretion
  • Coordinate all VP Visits and associated arrangements including creation of detailed itineraries, travel and transport bookings, venue bookings, catering, and communications
  • Organise visitor access passes for team members visiting LMA or customer sites and ensure requirements relating to access are communicated to those visiting
  • Coordinate travel arrangements, including:
  • Coordinate all travel bookings and arrangements for the Director, including organising detailed itineraries in conjunction with multiple stakeholders
  • Process all travel expenses
