Executive Assistant
Location: Remote in Mid-Atlantic Region

Overview The Executive Assistant will provide high-level administrative and strategic support to the CEO, ensuring priorities are managed effectively and the executive’s time is optimized. This role requires exceptional organizational skills, strong judgment, and the ability to anticipate needs in a fast-paced, dynamic environment. The Executive Assistant will serve as a trusted partner, representing the executive office with professionalism and discretion.

Key Responsibilities
· Calendar & Schedule Management: Proactively manage complex calendars, coordinate meetings across multiple time zones, and ensure the executive is well-prepared with relevant materials and briefings.
· Communication Liaison: Screen, prioritize, and respond to emails, calls, and inquiries; draft correspondence; and act as a professional representative of the executive in interactions with internal and external stakeholders.
· Travel & Event Coordination: Plan and manage detailed travel itineraries, logistics, and expenses; anticipate and troubleshoot changes with efficiency.
· Meeting Support: Organize, prepare agendas, take accurate notes, and track follow-up actions to ensure accountability and momentum on key initiatives.
· Document & Presentation Preparation: Draft, edit, and format reports, presentations, and correspondence with a high degree of accuracy and polish.
· Administrative & Project Support: Provide day-to-day administrative support, assist with special projects, and ensure smooth operations of the executive office.
· Confidentiality & Discretion: Manage sensitive information with the highest level of integrity and professionalism.

· Contact Management: Collect, store, organize and track all necessary contact information for both internal company as well as external clients and contacts.

Required Skills & Qualifications
· College degree in business administration, communications, or a related field.
· Exceptional organizational and time-management skills with the ability to manage multiple priorities under pressure.
· Strong written and verbal communication skills, with a polished and professional presence.
· Proactive problem solver with strong judgment and the ability to anticipate needs before they arise. · Expert in Microsoft Office Suite and collaboration tools (Outlook, Teams, Zoom, etc.); ability to adapt quickly to new technology.
· Demonstrated ability to build relationships and work effectively with senior executives, board members, and external partners.
· Proven ability to maintain confidentiality and handle sensitive matters with discretion.
· Valid Drivers License

· Ability to willingness to travel up to 15% (conferences, meetings, client site) and near major transit operations (airports, trains stations, etc.)

Preferred Qualifications
· 5+ years of experience as an Executive Assistant, preferably supporting C-level leadership.
· Experience working in a fast-paced, growth-oriented, or multi-stakeholder environment.
· Certified Administrative Professional (CAP)
· Professional Administrative Certification of Excellence (PACE)
· Organizational Management (OM)

· Microsoft Office Specialist (MOS) Expert

Work Environment This role is primarily remote with occasional on-site and in-person meetings. Some extended hours may be required to accommodate executive travel, events, or pressing priorities. Some travel may be required to other offices, or to support CEO in major events.
Virtual meetings are held with the expectation of 100% camera on for all meetings.
Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
