The Executive Assistant position is a high-ownership, high-visibility, fully in-person role on the Instant Teams corporate team based in Southern Pines, NC, designed for a self-starter who sees what needs to be done and makes it happen. This role blends executive support, revenue operations, sales enablement, content coordination, community engagement, and event execution. You will support department leadership to manage workflows, coordinate execution, maintain relationships, track follow-through, and help ideas move from concept to completion across the organization. A Typical "Day in the Life" Strategic Support: Participate in leadership meetings and translate discussions into clear action items, deadlines, and follow-ups. Revenue Ops: Manage leads in HubSpot, support funnel optimization, and explore new sales tools to maintain data accuracy. Brand & Content: Curate LinkedIn content for executives and collaborate on planning community events or activations. Innovation: Identify workflow inefficiencies and leverage AI tools or process improvements to accelerate team performance. Essential functions: Executive & Operational Support Act as a trusted extension of the Sales and Marketing department leadership Manage priorities, timelines, and execution across initiatives Track tasks, deadlines, and deliverables through completion Ensure follow-through, accountability, and clarity Attend meetings and convert notes into actionable next steps Serve as a strategic liaison between department leadership and key customer or community stakeholders, proactively managing relationships and ensuring a high-quality, consistent customer experience across all touchpoints. Revenue, Marketing & Growth Operations Support lead generation and follow-up across marketing and growth initiatives Organize inbound and outbound leads and assist with funnel management Help manage executive LinkedIn presence to support visibility and lead generation of multiple accounts Coordinate content creation, scheduling, and engagement Assist with CRM hygiene, reporting, and pipeline visibility Content, Events & Brand Execution Support planning and execution of events, activations, and community gatherings Participate in LIVE social events as a host, moderator, or on-screen support partner Assist with content coordination, including social posts, web copy, and email communications Support ambassador, creator, and community content workflows May require early mornings, evenings, or weekends based on event schedules Community & Ecosystem Engagement Be actively connected to, or eager to build relationships within, the military spouse community Engage confidently within the customer experience ecosystem Represent Instant Teams professionally in person and online Build trust-based relationships with partners, leaders, and community members Systems, Innovation & Optimization Maintain organized workflows, documentation, and reporting Identify gaps, inefficiencies, and opportunities for improvement Proactively recommend and implement better systems and processes Leverage technology, automation, and AI tools to improve efficiency Bring a builder mindset focused on making things better Competencies Strong written and verbal communication skills High attention to detail without losing sight of the big picture Ability to manage multiple priorities in a fast-moving environment Curiosity and willingness to learn new tools and systems Integrity, discretion, and strong judgment A self-starter who takes initiative and ownership Highly motivated to see ideas through to completion Personable, confident, and professional in high-visibility settings Tech-savvy with a desire to innovate and improve workflows Organized, dependable, and execution-driven Required Education and Experience 1-2 years Sales experience, or translatable skills 1-2 years Marketing experience, or translatable skills Proven experience leveraging LinkedIn and other social media platforms in a professional setting to support networking, brand visibility, and engagement.
