Executive Assistant – Masonry Council of Ontario
Position Type: Full-Time

Reports to: Executive Director
Overview
The Executive Assistant (EA) will serve as a vital member of the Masonry Council of Ontario’s administrative team, supporting the Executive Director, Board of Directors, and MCO committees. The EA plays a key role in ensuring smooth organizational operations by overseeing administrative systems, managing meetings and event logistics, supporting communication and social media efforts, and maintaining accurate documentation and records.

REQUIRED SKILLS AND QUALIFICATIONS

  • 3+ years of experience in an administrative, executive support, or coordination role.
  • Demonstrated experience in meeting support and minute taking.
  • Proficiency with Microsoft Office Suite, Google Workspace, and virtual meeting platforms (Zoom, Teams).
  • Strong organizational skills with attention to detail and time management.
  • Excellent verbal and written communication skills.
  • Experience with social media platforms and basic graphic tools is an asset.
  • Familiarity with governance or not-for-profit associations preferred.
Responsibilities
  • Provide direct administrative assistance to the Executive Director, including calendar management, email handling, correspondence, and preparation of reports and presentations.
  • Manage day-to-day office operations including ordering supplies, coordinating with vendors/members, and managing document filing systems.
  • Maintain the MCO’s internal records, correspondence, and other organizational documents, ensuring they are complete, up to date, and accessible.
  • Board and Committee Governance
  • Schedule, coordinate, and organize meetings for the Board of Directors, Committees, and General Membership, in accordance with the organization’s by-laws and member expectations.
  • Prepare agendas and distribute pre-meeting materials for board, committee, and annual general meetings.
  • Attend meetings to record accurate minutes and resolutions, ensure timely follow-up on action items, and maintain a master record of meeting minutes and decisions.
