Title and Summary Executive Assistant Job Overview: Business Assistant & Local office manager Performs general administrative duties to support day-to-day department operations in such areas as scheduling of meetings, travel arrangements, expense reporting, calendar management. Manages local office needs, such as ordering office supplies, coordinating and managing local equipment suppliers and facility management providers. Administrates country finances, in close alignment with divisional finance and controlling teams, with particular focus on country’s market funds and expense budget administration. Major accountabilities: The Executive Assistant & Local Office Manager serves as a key strategic partner to the Country Manager, providing administrative support, managing requirements of the office location and managing financial operations at the country level. • Performs general administrative duties to support day-to-day department operations in such areas as scheduling of meetings, travel arrangements, expense reporting, calendar management. • Serve as administrative liaison with others within and outside the company. • May monitor and coordinate work of other employees or temporaries. • Manages local office needs, such as ordering office supplies, coordinating and managing local equipment suppliers and facility management providers. • Ensures workspace coordination around the Vienna Office • Administrates country finances, in close alignment with divisional finance and controlling teams, with particular focus on country’s market funds (CDF and MDF) and expense budget • administration. This includes overseeing local funds and expense planning files, FundApp, etc. as well as tracking and archiving any local contracts, in alignment with relevant stakeholder • Ensures alignment of country budgets with organizational goals, forecast financial trends and prepare financial reports for management review. Prepares regular financial reports.
