Minimum of 2 years experience as an Executive Assistant

  • Project Management background is a plus
  • Fluent in English and some proficiency in German (A2 or above)
  • Outgoing, independent self-starter with good organizational skills
  • Very good communication and people skills, including a keen sense of team vibes (you know how to read a room)
  • Professional behavior
  • Ready to roll up your sleeves and get things done
  • Solid knowledge in Excel, Powerpoint, Words and the Google suite and general internet readiness
  • Discretion, resourcefulness
  • Attention to detail and a proactive work approach
  • You do not shy away from owning a task start to finis

Responsibilities

PURPOSE:

Reporting directly to the CEO while also supporting 1-2 other members of the management team by being a strategic partner, trusted confidant, natural collaborator and professional problem solver.

RESPONSIBILITIES:

  • Internal and external Omio ambassador
  • Support in expanding our organisation with potential outreach on behalf of the CXO team or Omio as a whole (for example, company events, workshops, team outings)
  • Own a position with lots of flexibility and high responsibility - this is not a 9-5pm job
  • Help to organise processes more effectively and efficiently
  • Collaborate often with the other Executive Assistants and Travel Specialist (Executive Support Team), Internal Communications and Workplace Teams
  • Support the CEO and Executive team in every-day tasks (calendar scheduling, writing meeting protocols, preparing presentations, creating team meetings etc.)
  • Organise external meetings and travel planning
  • Plan and schedule quarterly management team face-to-face meetings in Berlin
  • Be the main contact and trust source for members of our board
  • Interface between management members, the team, internal stakeholders and external contacts
  • Contributing to productivity and efficiency at all levels of the organisation
  • Skilled communicator in external correspondence
  • Personal integrity and attention to detail around sensitive and/or urgent document handling
