POSITION DESCRIPTION:

Reporting jointly to the President and Chief Executive Officer (CEO) and the Chief of Staff, the Executive Assistant, Medical Administration is the key point of contact and resource for professional staff, connecting with administration, management, clients, and external partners. The Executive Assistant (EA) manages information flow in a timely and accurate manner and is responsible for providing professional expertise and leadership in the areas of planning, organizing, and directing the activities of the Professional Staff, including human resources, communications, and quality. This includes developing and maintaining professional staff recruitment and retention processes and initiatives aligned to current legislation and other requirements set out by Haliburton Highlands Health Services (HHHS), Ministry of Health (MOH), Public Hospitals Act and College of Physicians and Surgeons of Ontario (CPSO). The EA leads activities to improve engagement, build community and foster strong linkages between the corporation, its professional staff, and other professional staff in the community. The EA is the lead for physician scheduling.
May be required to work irregular and/or additional hours to accommodate physician schedules.

QUALIFICATIONS:

  • College Diploma in Office Administration or an equivalent combination of education and experience.
  • Minimum of 5 years of progressively responsible experience as an assistant to a Senior Executive.
  • Ability to use tact, discretion, and judgement in dealing with confidential issues in a highly political environment.
  • Experience in working with a governing Board.
  • Excellent verbal and written communication skills, interpersonal and decision-making skills.
  • Highly organized; able to organize self, office and others and able to act without guidance.
  • Professional demeanour as appropriate at the executive level.
  • Ability to work under pressure, and to manage multiple tasks within tight deadlines, conflicting demands and shifting priorities.
  • Proven ability to differentiate when to take action independently or to partner as a team.
  • Highly motivated and demonstrates the ability to use own initiative and manage time effectively.
  • Demonstrated proficiency in current business software including Microsoft Office, Outlook, Word, PowerPoint and Excel.
  • Excellent proof-reading skills.
  • Knowledge of medical terminology an asset.
    Job Types: Full-time, Permanent
    Pay: $35.05-$40.07 per hour
    Expected hours: 37.50 per week
