Position Summary: MES Life Safety is seeking a highly organized, proactive, and professional Executive Assistant to provide critical administrative and operational support to our executive team, with a primary focus on supporting executives reporting into the CEO. This role requires excellent communication skills, sound judgment, and a high level of discretion, as the Executive Assistant will regularly handle confidential information and support high-impact business functions. Duties and responsibilities: Provide comprehensive executive-level support to entire executive team, including calendar management, correspondence, and general administrative tasks. Coordinate logistics and materials for board meetings, investor meetings, and monthly staff meetings, including agenda preparation, document distribution, and meeting minutes. Manage and prioritize complex calendars, ensuring meetings, events, and travel are scheduled in alignment with their business priorities, working styles, and personal preferences; anticipate needs and adjust proactively to prevent conflicts and optimize time. Manage all domestic and international travel (if any) and lodging arrangements, ensuring accuracy and adherence to budget guidelines and preferences Oversee the daily operations of the Miami, FL office to ensure a smooth, professional, and efficient workplace environment. Support cross-functional collaboration by assisting with other departments in projects as needed; liaise with internal departments and external stakeholders. Manage the execution, tracking, and organization of legal and financial documents, ensuring timely follow-up and confidentiality. Anticipate executive needs, proactively resolve issues, and prioritize competing demands in a fast-paced environment. Remain flexible and adaptable to evolving company priorities; duties and responsibilities may be adjusted at the company’s discretion to meet organizational needs. Requirements Required Qualifications 5–7 years of experience providing high-level administrative support to C-suite or senior-level executives, preferably in finance, legal, or human resources environments. Demonstrated ability to handle confidential information with discretion and integrity. Exceptional interpersonal and communication skills; professional demeanor and a positive, can-do attitude. Strong organizational, time management, and multitasking skills with high attention to detail. Proven ability to work independently and exercise sound judgment in a dynamic setting. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with collaboration tools (e.g., Teams, Smartsheets) a plus.
