Position: Executive Assistant to the Director of Schools
Reports to: Director of the Met
Employment Status: Full Time, 12 month position
Salary Range: 47,000 -53,000 per yea
Start Date: August 2025

POSITION OVERVIEW:

The Executive Assistant will support the Director of Schools in all aspects of her work. The Executive Assistant will manage meetings, appointments, phone calls, emails, written correspondence, and follow-ups as well as work with her on projects and assignments. The role supports a fast moving thinker who acts with enthusiasm, honors confidentiality, and has a direct, assertive style. The Executive Assistant must be articulate, creative, detail oriented, highly organized, have the ability to multitask, be skilled in the use of technology when used as a communication tool, and possess an optimistic outlook. The Executive Assistant understands they serve the entire Met community and are a representative of the Director and her work.
The Executive Assistant role encompasses two working modes: clerical and managerial.

REQUIRED QUALIFICATIONS & SKILLS:

  • Four year college degree required
  • Five years experience in assisting a senior level executive
  • Strong interest and passion for education and kids
  • Experience working in support of youth or education programming
  • Minimum of five years working in a fast-paced environment
  • Computer and internet proficiency: experience with Google apps preferred
  • Proven written/oral communication skills (writing/edition, telephone follow-up)
  • Ability to work independently and as a team member
  • Ability to function under pressure, handle multiple assignments and follow through on deadlines
  • Ability to research relevant information and analyze data
  • Display diplomacy and professionalism at all levels
  • Honor rules of confidentiality
  • Remain productive, focused, and flexible in a constantly changing environment

Responsibilities
  • Create organizational systems and tools that sustain the Director in her daily work to remain updated and connected with all schools
  • Communicate on behalf of the Director with Principals and varied Directors regarding data, training materials, and overall school information
  • Act as the liaison between the Director and school community in a way that makes constituents feel confident that the Director will receive the information shared or that their requests will be considered when received
  • Remain up to date on all emails and correspondence sent to direct supervisor on a daily basis
  • Review and summarize weekly Field Memos from the RI Commissioner of Education
  • Establish and maintain the Director’s schedule
  • Provide written communication on behalf of the Director when needed
  • Edit written work from the Director on a scheduled basis; such items are as follows: TGIF, staff evaluations, narratives, reports, etc.
  • Maintain levels of involvement with Unity and The Met at large that create connection to the school community and assist in the understanding of its culture
  • Responsible for correspondence and data reporting between RIDE and The Met when needed and includes drill scheduling, annual health reporting, and evaluations
  • Design brochures and flyers
  • Create an organized, online filing system for records on file of meetings and trainings that take place throughout the year
  • Manage correspondence, scheduling, and documentation for The Met Board of Trustees
  • Arrange catering as needed from The Met Kitchen and outside vendors
  • Reserve and manage space, IT, and facilities requests when directed
  • Establish and maintain school calendar
  • Act as telephone/voicemail contact for The Met
  • Assumes such other responsibilities and performs other duties as may be assigned by the Director.
  • Manage visitor scheduling, materials, site visits and visitor funds, sharing the balances with principals and acting as the liaison between principals and Big Picture when requesting reimbursements.
  • Manage all aspects of CCRI Dual Enrollment (DE) process and maintain good working relationship with CCRI
  • Maintain student College Course records and history
  • Purchase college books for CCRI Dual Enrollment (DE) students and reconcile billing
  • Manage college book lease agreements and maintain lending library
  • Manage The Met Scholarship program
  • Facilitate school exit process
