Executive Assistant to the CEO(s) – Entry Level Department: Administration Reports To: Chief Executive Officer(s) Location: In-Office/Hybrid FLSA Status: Exempt Position Summary The Executive Assistant provides administrative and coordination support to the CEO(s) and executive leadership team in a fast-growing urgent care organization. This is an excellent opportunity for someone early in their career to gain exposure to executive operations, healthcare leadership, and multi-clinic coordination. This role focuses on organization, scheduling, communication, and helping keep leadership priorities on track. The ideal candidate is detail-oriented, dependable, professional, and eager to learn. Administrative Support Assist with managing executive calendars, scheduling meetings, and coordinating appointments Help organize daily priorities and ensure meetings are prepared in advance Draft basic emails, memos, and internal communications Organize and maintain digital files, documents, and reports Meeting & Coordination Support Schedule leadership meetings and send calendar invites Prepare meeting materials and assist with note-taking when needed Help track follow-ups and action items from leadership meetings Operational Assistance Help coordinate travel arrangements, clinic visits, and leadership events Support communication between executive leadership and departments (HR, Operations, Clinics, Finance) Assist with special projects and administrative tasks as assigned Front-Line Executive Support Answer and route incoming communications professionally Help prioritize requests and ensure timely responses Provide general administrative support to keep day-to-day operations running smoothly Education & Experience Associate’s or Bachelor’s degree preferred (Business, Healthcare Admin, Communications, or related field) 0–3 years of administrative, coordinator, or office support experience Internship or healthcare experience is a plus but not required Skills Strong organization and time-management skills Professional communication skills (written and verbal) Comfortable using Microsoft Office/Google Workspace Ability to handle multiple tasks and shifting priorities
