Summary This position provides administrative support to executive leaders including coordination of Board and/or Board committee-related activities. Reports to a president and/or corporate executive team member and provides administrative support to a corporate Board or Board committee. Responsibilities ESSENTIAL DUTIES AND RESPONSIBILITIES (25%)* Proactively identifies and addresses the needs of senior leaders. Works collaboratively with a team of executive assistants and other professionals to support Executive Team members and accomplish specific tasks that lead to successful completion of organizational, departmental, and team goals. Acts as liaison between executive and senior leaders, governance members, medical staff, employees and the public. (25%)* Maintains complex calendar(s) for senior leaders, including proactive management of future events and their requirements; meeting planning and scheduling; and arranging travel for senior leaders as directed. (25%)* Coordinates Board and/or Board committee(s) materials for meetings and/or other high-level meetings. Prepares notices, meeting books, and other documents. Attends meetings and prepares minutes as required. (25%)* Prepares correspondence, documents, presentations and reports as requested. OTHER DUTIES AND RESPONSIBILITIES: Provides confidential and professional administrative support to executives and senior management and assists other administrative staff and management, as needed. Exercises professional judgment and confidentiality in the completion of day-to-day tasks to assure smooth operation of the executive office suite. Advanced knowledge of Microsoft® Word, PowerPoint, Excel and other software packages as needed. Interpersonal and written skills needed to communicate successfully and effectively with individuals and groups and interact with people at all organizational levels to communicate ideas and concepts in a clear and understandable manner. PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS: Must be able to perform the functions of the job as outlined in the job description. Ability to handle multiple tasks, get along well with others, work independently and proactively. Position requires frequent and regular public contact, decision-making and exposure to stressful situations, including those involving public contact. Overall vision is necessary with or without assisted device(s) including reading and close up work. Overall hearing and speech in person and on the phone are necessary. Oral and written communication skills are vital to this position. Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular and frequent basis. Able to move freely about department or facility with or without an assisted device. Frequently required to sit/stand for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching. Ability to achieve regular and predictable attendance and to stay awake during work hours. Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
