JOB SUMMARY

The Executive Assistant (EA) provides high-level administrative support to the Chief Operating Officer and Directors, ensuring smooth day-to-day operations and coordination of leadership activities. This role involves managing communications, schedules, logistics, and document preparation. The EA plays a critical role in maintaining organized workflows, professional correspondence, and timely execution of priorities within the leadership team.

QUALIFICATIONS

  • High school diploma required; post-secondary training in administration or a related field preferred.
  • Minimum 2 years of experience in an administrative or executive assistant role.
  • Strong skills in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • High degree of discretion, professionalism, and confidentiality.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Valid BC Class 5 Driver’s License and a clear Criminal Record Check.
Responsibilities
  • Provide confidential administrative support to the COO and Directors.
  • Coordinate calendars, book meetings, and arrange travel and accommodations.
  • Prepare and format reports, memos, presentations, letters, and internal documents.
  • Record meeting minutes, track action items, and ensure timely follow-up.
  • Maintain organized digital and physical filing systems.
  • Support the planning and coordination of internal projects and events.
  • Act as a liaison between departments and the leadership team.
  • Proofread and edit communications for clarity, grammar, and formatting.
  • Book meeting rooms, supplies, catering, and equipment as needed.
  • Uphold professionalism and confidentiality in all matters.
