Description Navolio & Tallman LLP is seeking a highly organized, proactive, and client-focused Executive Assistant to support firm Partners in our Walnut Creek office. This role plays a critical part in ensuring seamless day-to-day operations, delivering exceptional client service and supporting a fast-paced public accounting environment where excellence is the standard and relationships come first. You will play a key role in fostering a high-touch, people-first experience for both clients and internal teams, ensuring communication is thoughtful, responsive, and aligned with our commitment to excellence. This position operates in a fast-paced, deadline-driven environment (particularly during peak tax season) and requires flexibility to maintain a hybrid or in-office presence aligned with firm needs. Responsibilities Provide high-level administrative support to Direct Partner and/or executive team Manage complex calendars, scheduling meetings and travel logistics Prepare meeting materials, agendas, and track follow-up action items Screen, prioritize, and manage communications on behalf of executives, as needed Serve as a point of contact for clients, ensuring a professional and responsive experience Coordinate client communications, document requests, engagement timelines, and onboarding processes Maintain accurate client records and support ongoing relationship management Manage multiple priorities simultaneously in a fast-paced, deadline-driven environment Support firm-wide initiatives, special projects, and cross-functional coordination Provide occasional office support for the Walnut Creek location Handle highly sensitive financial and client data Requirements Exceptional organizational, time management, and communication skills, with a strong attention to detail and a proactive, solutions-driven mindset Demonstrates professionalism, discretion, and the ability to handle confidential information Self-motivated and capable of working independently while maintaining a strong client-service focus and building meaningful relationships Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) Qualifications 5+ years of experience in an Executive Assistant or senior administrative role Experience in a public accounting firm or professional services environment strongly preferred
