Job Description
This dynamic Executive Assistant supports the Managing Director and ensures the smooth operation of the Brisbane offices. The role is a central liaison, engaging with senior-level stakeholders and overseeing office functions. We’re looking for an agile and passionate professional with impeccable organization and strong interpersonal skills, ready to take on a diverse range of tasks from coordinating high-profile events to driving internal communications.

Day to day you will:

  • Provide proactive, strategic support to the Managing Director, anticipating needs and opportunities to enhance efficiency and effectiveness.
  • Manage the calendar with foresight, balancing demands and strategically planning ahead to ensure smooth operations.
  • Prepare documents and presentations with attention to detail and a focus on professionalism.
  • Coordinate events and meetings, handling logistics with precision and ensuring everything runs smoothly.
  • Oversee budget-related tasks with strong organisational skills, ensuring efficient management.
  • Administer invoices and expenses promptly, meeting all deadlines.
  • Coordinate travel arrangements and detailed itineraries, ensuring thorough planning.
  • Promote effective collaboration between cross-functional teams and offices, ensuring alignment and communication.
  • Uphold confidentiality and maintain professionalism in all interactions and responsibilities.
  • Proactively maintain a log of commitments, ensuring timely follow-ups and strategic oversight of all key matters.

Qualifications

What you’ll bring:

  • Proven experience as an Office Assistant/Manager, Personal Assistant or Executive Assistant, effectively supporting leaders.
  • Exceptional interpersonal skills, with a friendly and professional demeanor.
  • Ability to build and maintain strong internal and external relationships, working with a diverse range of backgrounds and cultures.
  • Mature and proactive approach, with a strategic lens for identifying and addressing gaps and driving continuous improvement.
  • A go-getter attitude, committed to supporting the Managing Director and excelling in day-to-day execution.
  • Advanced skills in Microsoft Office and Google Suite
  • Exceptional organisational, project management, and problem-solving skills, with the ability to multitask effectively.
