EXECUTIVE ASSISTANT

Responsibilities

ABOUT THE ROLE

The Executive Assistant is responsible for:

  • providing high quality administrative and clerical services to facilitate effective and efficient delivery of executive office operations, communications and business activities.
  • leads high-level executive support and administrative assistance, manage emails and diary appointments, records and correspondence, coordinate travel arrangements, schedule and draft meeting minutes.
  • management of correspondence, including briefings, reports, submissions, and meeting papers, ensuring that everything is completed to the highest standards of accuracy and completeness
  • Coordinate meetings including preparing agendas, organising venues, distribution of associated meeting papers to contribute to the effective running of meetings
  • Maintain the TRIM Content Manager records system and create, store, retrieve and archive files to ensure the accurate and safe storage of information and contribute to a timely response for information.
  • Contribute to the efficient business operations of the directorate by providing a range of quality executive and administrative services to the Director and staff within the team.
  • Provide SAP finance systems support to the Director and team/unit ensuring compliance with Departmental standards and procedures.
  • Provide a range of administrative support services, including word processing, preparation of spreadsheets and PowerPoint presentations using the MS Office suite of programs within required time frames on behalf of the Director and staff within the team/unit.
  • Respond to incoming telephone and face to face enquiries, providing information and referring enquiries in an effective and responsive manner ensuring high level customer service to internal and external customers and stakeholders.

There’s also the opportunity to provide advice on human resources and financial strategies to benefit the team, working closely with colleagues across the department.

ESSENTIAL REQUIREMENTS OF THE ROLE

  • Demonstrated understanding of and commitment to the value of public education.
  • Knowledge of and commitment to implementing the Department’s Aboriginal Education Policy and upholding the Department’s Partnership Agreement with the NSW AECG and to ensure quality outcomes for Aboriginal people.
