JOB OVERVIEW

We are seeking a highly organized, communicative, proactive and positive Executive Assistant to provide comprehensive support to our owners and leadership team. The Executive Assistant will handle a mix of administrative, scheduling, communications, and project coordination tasks — helping the Executive Director focus on leading the organization’s mission and artistic vision. The ideal candidate will possess exceptional multitasking abilities and a keen attention to detail.

QUALIFICATIONS

  • Prior experience as an Executive Assistant, Administrative Assistant, or similar role (performing arts experience a plus).
  • Exceptional organizational and time-management skills, with the ability to multitask and adapt quickly to changing priorities.
  • Strong written and verbal communication skills.
  • Familiar with Microsoft office and Canva
  • Comfortable working independently and as part of a collaborative, creative team.
  • Ability to work evenings and weekends to support events, rehearsals and productions.
  • Passion for theatre and the performing arts strongly preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Experience in front desk style operations with excellent interpersonal skills.
  • Attention to detail for accurate filing and proofreading of documents.
  • Strong customer service skills with a focus on building positive relationships.
  • Must be at least 18 years old
  • Must have valid drivers license and reliable transportation
Responsibilities
  • Manage internal schedules, including meetings, rehearsals, events, and travel arrangements.
  • Prepare and organize documents, reports, presentations, and meeting materials.
  • Assist with event planning and coordination for productions, fundraisers, and community programs.
  • Track project timelines, deliverables, and follow-up actions to ensure smooth execution.
  • Prepare and organize documents, reports, and presentations, press releases, marketing materials, and information documents ensuring accuracy through proofreading.
  • Create basic graphics using Canva or similar applications
  • Support organizational recordkeeping, including contracts, invoices, and financial documentation.
  • Handle confidential information with professionalism and discretion.
  • Assist with various creative and operational tasks as directed, ensuring the Executive Director’s priorities are met.
  • Maintain filing systems both electronically and physically to ensure easy access to important documents. Researching new methods to make processes more efficient
  • Assist in basic bookkeeping and data entry.
  • Provide exceptional customer service by addressing client inquiries and resolving issues promptly.
  • Support personal assistant duties as needed, including errands or special projects assigned
