Job Description
As our Executive Assistant & Office Management, you’ll serve as the right hand to our Head of LATAM , ensuring smooth day-to-day operations and enabling enhanced productivity across the organization. This role requires a dynamic individual who thrives in a fast-paced environment, excels in administrative tasks, and is adept at basic marketing, communications, and financial management.

EXECUTIVE ASSISTANT RESPONSABILITIES:

Manage the Head of LATAM´s dynamic calendar, including scheduling meetings, appointments, and conference calls.
Coordinate both domestic and international travel arrangements, ensuring seamless logistics for flights, accommodations, and transportation. (Articulating with EA from different affiliates)
Serve as the primary liaison between the Head of LATAM and internal/external stakeholders, fostering positive relationships with clients, board members, and employees.
Assist in drafting and editing various communications, presentations, and documents on behalf of the Head of LATAM.
Handle confidential information with the utmost discretion and professionalism.
Rack daily expenses and prepare weekly, monthly or quarterly reports
Take minutes during leadership team meetings.

OFFICE MANAGEMENT RESPONSABILITIES (ARGENTINA & CHILE)

Support special projects and initiatives as needed, demonstrating versatility and adaptability.
Provide general administrative assistance, such as drafting correspondence, preparing documents, and organizing files, to support day-to-day operations.
Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Responsible for the correct ungoing processes of the office daily.
Purchasing and solving the office supply needs and seeing to the correct reporting of expenses.
Negotiating with subcontractors on contracts/prices/payment terms/ etc.
Regular articulation with our external legal representatives from Argentina and abroad.
Fleet: Control of vehicles assigned to personnel, contracts, monthly billing monitoring.
Qualifications

REQUIREMENTS:

Bachelor’s degree or equivalent combination of education and experience.
Minimum of 3 years of experience in an EA, office management or office coordination, with a preference for supporting senior executives.
Advanced proficient in English, both written and verbal.
Proficiency in MS Office and office gadgets and applications: Ability to navigate and utilize these software tools effectively.
Exceptional Organizational Skills: Strong ability to prioritize tasks, manage multiple calendars, and coordinate complex travel itineraries.
Strong interpersonal and communication skills, with the ability to engage effectively with individuals from diverse backgrounds and at all organizational levels.
Attention to Detail: Meticulous attention to detail to ensure accuracy in scheduling and travel arrangements.
Excellent Communication Skills: Clear and professional communication skills, both written and verbal, to interact with executives and stakeholders at all levels.
