OVERVIEW

The Executive Assistant & Office Operations Support is a key administrative role providing direct support to the Executive Director (ED) while ensuring that the organization’s administrative office is clean, organized, and running efficiently. This position coordinates logistics for governance, meetings, and day-to-day operations, focusing on hands-on execution rather than strategic leadership. It requires a high level of discretion, problem-solving, and responsiveness to evolving needs in a busy non-profit setting.
Ark Aid is a Christian Mission serving the homeless and marginalized community in the city of London, Ontario. The Program Support and Safety Worker contributes to the Mission of Ark Aid Street Mission Inc., which identifies that in God’s love, we will facilitate opportunities for people to experience love, healing and liberation, by providing services to our community and building relationships with each individual.

REQUIREMENTS

The Executive Assistant & Office Operations Support should have the following skills, education and experience:

Qualifications

  • 3+ years of experience in executive-level administrative support.
  • Proficient in Google Workspace and basic tech troubleshooting.
  • Familiarity with non-profit governance practices is considered an asset.
  • Demonstrated experience in maintaining clean, professional, and functional office spaces.
  • Comfortable working independently in a sometimes chaotic, high-needs environment.

Education & Certifications:

  • Post-secondary education in Office Administration, Business, or a related field (or equivalent experience).
  • Current First Aid/CPR certification, or willingness to obtain within the first three months of employment.

Experience:

  • Minimum of 1–2 years of experience in an administrative support role, ideally in HR, volunteer coordination, or non-profit settings.
  • Experience working with highly confidential documents and information.
  • Previous experience managing multiple priorities in a fast-paced environment.
  • Experience managing calendars, emails, and event logistics, and Board of Directors reporting.

Knowledge, Skills & Abilities:

  • Strong working knowledge of Google Workspace (Docs, Sheets, Gmail, Calendar, Slack).
  • Excellent written and verbal communication skills.
  • Exceptional organization, time management, and multitasking abilities.
  • A high level of attention to detail, particularly in record-keeping and compliance tracking.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong interpersonal skills and ability to work collaboratively with a diverse range of staff, volunteers, and community members.
  • Understanding of trauma-informed care principles and inclusive, respectful communication practices.

Other Requirements:

  • Clear Criminal Record Check with Vulnerable Sector Screening (VSC) required.
  • Ability to sit for extended periods and perform tasks that involve typing and documentation.
  • Availability for occasional evening or weekend hours to support Board of Director Monthly meetings, events or appreciation activities.
  • Demonstrated alignment with the mission, values, and Christian faith-based approach of Ark Aid Mission.
