JOB DESCRIPTION:

The Oklahoma Press Association is the trade association serving 165 state newspapers and digital news websites that support their communities across the state. OPA seeks an Executive Assistant to assist in managing the association’s many programs and activities. The ideal candidate will have a passion for the news/media industry, superior organization and communication skills, meeting and event planning experience.

Responsibilities
  • Provide administrative assistance to staff leadership and departments
  • Coordinate meetings of five standing committees. Send email notices, prepare agendas, write meeting minutes and prepare summary reports. Coordinate annual recruitment of committee members.
  • Perform essential functions for convention and event planning. Organize registrations as well as other duties as assigned.
  • Coordinate annual Legislative Summit at State Capitol, which includes arranging for the venue and room setup and caterer. Organize registrations and materials for distribution.
  • Assist with annual contest and awards recognition programs. Communicate with judges and organize general awards preparations. Assist with preparation of different materials throughout awards season.
  • Update the member directory within the online association management system.
  • Use content management system for website updates; assist with online store processes.
  • Provide administrative support and excellent service to members.

Preferences:

  • Experience in Newspaper or Website Journalism or Advertising
  • Experience in writing meeting minutes
  • Experience in event planning
  • Experience in Mailchimp or other email marketing platform
  • Experience in website maintenance

Required:

  • Organized and detail-oriented individual that can maintain lists and schedules with accuracy
  • Great computer skills, including basic experience in Microsoft Excel
  • Able to learn technology programs with ease
  • Excellent verbal and written communication skills
  • Demonstrate a professional demeanor consistently.

Full-time position at OPA office, 3601 N. Lincoln Blvd., in Oklahoma City.
