Will you join us? At Okta, our Executive Assistants provide a wide array of administrative, logistical, and project-related support to their Executives. We are looking for an Executive Assistant to be a true business partner to our Corporate Development organization - supporting multiple VPs. As a true business partner, you will be a huge part of the organization's success. This role has a high amount of visibility and works cross-functionally across the company. Duties and responsibilities Calendar management - coordinate all meetings, both internal and external, being proactive about conflicts and understanding priorities. Manage the daily schedule of the Executives; coordinate domestic and international travel, process expense reports, and assist with the management of budget needs Own and help manage the rhythm of the business in close partnership with the Executives and teams, including agenda management, notes, logistics, and follow-ups. Schedule and coordinate logistics for meetings, conferences, and special events Support off-site/on-site logistics for multiple executives and their teams Assist with greeting guests in the office, and ordering catering for appropriate meetings in the office Work directly with Sr. EA with annual offsite, in-office needs, and regular 1:1 meetings Acts as a liaison and trusted partner for assigned executives, relaying and exchanging information with others, including: Senior leaders, customers and clients, and other organizations or colleagues. Anticipate the Executive’s needs and proactively assemble the appropriate people and resources to solve problems. Field incoming requests; exercise strong judgment and discretion with highly confidential information. Lead, drive, and execute on various team events, socials, offsite meetings, etc. Work cross-functionally to ensure communication is efficient and clear between teams. Organize, prioritiz,e and coordinate multiple work activities with demonstrated ability to meet deadlines. Providing backup support for other EAs in the department. Qualifications Experience: Minimum 5 years of experience as an Executive Assistant, supporting multiple executives in fast-paced environments. Confidentiality: Demonstrated ability to handle sensitive business matters discreetly. Project Management: Proven success in managing multiple priorities and deadlines under pressure. Flexibility: Ability to work independently and collaboratively; available to support executives across time zones and outside of standard office hours as needed. Travel: Willingness to travel up to 10%. Professional Presence: Strong ability to interact effectively with executives, customers, partners, and cross-functional teams. Technical Skills: Proficiency in Microsoft Office Suite and Google Workspace. Organizational Skills: Expertise in scheduling complex logistics across multiple time zones and managing competing priorities. Communication: Excellent verbal and written communication skills; detail-oriented with strong planning and analytical capabilities. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies.
