Executive Assistant to the CEO
Location: Coquitlam, British Columbia | Hybrid
Compensation: $80,000 – $100,000 + Benefits

Overview
Our client, a well-established construction and development services company, is seeking their very first Executive Assistant to the CEO. This newly created role comes at a critical time, as the CEO requires a trusted right hand to keep operations running smoothly while they focus on sales, client relationships, and overall company growth.

Key Responsibilities

  • Executive Support
  • Manage and prioritize the CEO’s calendar, meetings, and site visits.
  • Review and organize emails, draft correspondence, and flag urgent matters.
  • Prepare meeting agendas, briefing materials, and follow-up action items.
  • Coordinate travel arrangements, expense tracking, and special projects.
  • Operational Support
  • Act as liaison between the CEO, staff, subcontractors, and clients.
  • Assist with project coordination tasks such as scheduling confirmations, client communications, and materials ordering.
  • Track key deadlines, follow-ups, and operational priorities to ensure timely execution.
  • Handle confidential business and financial information with discretion.
  • Personal & Ad Hoc Support
  • Provide occasional personal administrative support to free up the CEO’s time.
  • Run errands, coordinate vehicle and site logistics, and assist with urgent personal or professional matters after hours when needed.

Qualifications & Experience

  • Executive/Administrative Background
  • 5+ years of experience as an Executive Assistant, Office Manager, or high-level Administrator.
  • Direct experience supporting executives in a small-to-medium sized construction, development, trades, or restoration company (painting/renovation industry experience highly valued).
  • Core Skills
  • Exceptional organizational skills, with the ability to manage multiple priorities and think several steps ahead.
  • Strong written, verbal, and interpersonal communication abilities.
  • Tech-savvy with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and scheduling/project management tools.
  • Familiarity with financial or bookkeeping tools (e.g., QuickBooks) is an asset.
  • Other Requirements
  • Comfortable with flexible hours, including occasional after-hours support.
  • Professional discretion when handling confidential and sensitive information.
  • Valid driver’s license and access to a reliable vehicle (approx. 25% of the role involves driving for errands, client-related needs, or site visits).
