We’re working with a local, mission-driven consulting firm to hire an Executive Assistant / Operations Coordinator to support their leadership and operations. This is a unique, hands-on role supporting the Vice President of Operations with executive support, office operations, light HR, accounting, and IT coordination. REQUIREMENTS:

  • 3–5+ years of experience in administrative, executive assistant, or operations roles
  • Strong background in administrative support;HR and accounting experience are a plus
  • Proficiency in Microsoft 365, including SharePoint, OneNote, Excel, and Word;Concur experience required
  • Excellent communication, organization, and problem-solving skills
  • Ability to work independently, manage multiple priorities, and shift gears quickly
  • Trustworthy, detail-oriented, and collaborative with a high level of discretion
  • Bachelor’s degree preferred, or equivalent professional experience

Responsibilities
  • Provide high-level administrative support to the VP of Operations and COO, including calendar management, correspondence, and document preparation
  • Oversee in-office needs including managing mail, shipments, petty cash, supplies, and office equipment
  • Manage expense reports, vendor invoices, and light accounts receivable/payable support
  • Assist with HR-related tasks like onboarding, maintaining employee records, and supporting policy/procedure updates
  • Coordinate IT equipment tracking, troubleshooting, and vendor management;prepare travel and production equipment shipments
  • Communicate with clients, vendors, and team members professionally and effectively
  • Support multiple projects and prioritize shifting tasks in a fast-paced environment
  • Be a trusted, go-to partner for the VP of Operations—anticipating needs and offering solutions
