Responsibilities

THE ROLE

We’re seeking an organized, proactive Executive Assistant/Operations Specialist to provide comprehensive support to our CEO and Leadership Team. This is a unique opportunity to work directly with a founder and other executives in a high-growth environment where no two days are the same. You’ll handle everything from complex scheduling to project coordination, becoming an essential partner in keeping our CEO focused on driving the business forward.

KEY RESPONSIBILITIES

Administrative Excellence

  • Manage complex calendar scheduling for business meetings, events, and personal appointments
  • Coordinate domestic and international travel arrangements
  • Process expense reports and maintain organized filing systems
  • Screen and prioritize communications, responding on behalf of the CEO and others when appropriate

Business Support

  • Coordinate cross-functional projects and follow up on deliverables
  • Prepare meeting materials and take detailed notes
  • Manage vendor relationships and procurement processes
  • Assist with event planning and company meetings

Personal Support

  • Schedule personal appointments (medical, personal services, etc.)
  • Coordinate personal travel and vacation planning
  • Handle personal errands and household management tasks as needed

Communication & Representation

  • Serve as primary point of contact for internal and external stakeholders
  • Draft emails and correspondence on behalf of the CEO and other executives, when necessary
  • Maintain professional relationships with clients, partners, and team members
  • Represent the CEO and other executives professionally in all interactions
