Ornge is looking for a dynamic Executive Assistant to provide high-level administrative and organizational support to our COO – Joint Operations, Medical Operations and Deputy CEO (“COO”) and Chief Aviation Officer (“CAvO”). In this pivotal role, you’ll be at the heart of our operations, ensuring seamless coordination and execution of daily activities. Key Accountabilities:

  • Day to day operation of the COO - Joint Ops, Medical Ops & Deputy CEO & Chief Aviation Officer offices, including maintenance and prioritization of their calendars.
  • Serves as a key point of contact for others with COO - Joint Ops, Medical Ops & Deputy CEO & Chief Aviation Officer, ensuring the effective and efficient workflow between their offices and internal and external clients.
  • Daily COO - Joint Ops, Medical Ops & Deputy CEO & Chief Aviation Officer approval workflows, including reviews and follow-up.
  • Tracking of project and document workflow, including monitoring and follow-up
  • Acting for the COO - Joint Ops, Medical Ops & Deputy CEO & Chief Aviation Officer on delegated matters and undertaking special projects as requested, including the drafting, or editing of correspondence, policies, and other documents, and organizing events.
  • Provide comprehensive administrative support to the COO, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and organize reports, presentations, and other documents for meetings and projects.
  • Act as the primary point of contact for internal and external stakeholders, demonstrating professionalism and discretion.
  • Coordinate and manage special projects as assigned by the COO, ensuring timely completion and adherence to objectives.
  • Maintain accurate records and documentation related to departmental operations and meetings.

Qualifications:

  • Post secondary credential (minimum two years).
  • At least five years of progressive experience in similar or related administrative roles.
  • At least three years of experience with financial and/or accounting duties.
  • At least two years of experience with the preparation and interpretation of contracts and legal documents.
  • Excellent organizational and time management skills with demonstrated experience prioritizing work and balance numerous fluctuating and highly demanding priorities.
  • Highly proficient in using MS Office tools.
