OVERVIEW

We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional clerical and organizational skills, with a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism in all interactions and contribute positively to our office environment. Proficiency in Google Suite and experience with QuickBooks will be advantageous.

REQUIREMENTS

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Google Suite applications (Docs, Sheets, Calendar) is essential.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent clerical skills with attention to detail in data entry tasks.
  • Familiarity with QuickBooks is preferred but not mandatory.
  • Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.
  • Strong communication skills, both written and verbal, with a focus on customer service excellence.
  • Ability to work independently as well as collaboratively within a team environment.

Responsibilities
  • Provide administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Handle data entry tasks accurately and efficiently, ensuring all information is up-to-date and accessible.
  • Maintain organized filing systems for both physical and electronic documents.
  • Prepare reports, presentations, and correspondence as needed.
  • Utilize DocuSign for document management and electronic signatures.
  • Exhibit excellent phone etiquette while managing incoming calls and inquiries from clients or stakeholders.
  • Assist with customer service-related tasks, addressing client needs promptly and professionally.
  • Collaborate with team members to streamline office operations and improve workflow efficiency.
