JOB QUALIFICATIONS:

  • High School Diploma/GED required, Associate’s or Bachelor’s Degree preferred
  • Minimum 3 years experience as an executive assistant/office manager
  • Work experience in a school or non-profit environment is helpful
  • Grant writing experience preferred
  • Experience using and managing board management software such as Boardable
Responsibilities

PURPOSE:

Represent and support the CEO and board activities of three interconnected organizations: the Advancing Youth Initiative foundation; Dominus High School, and Penn Hills Charter School of Entrepreneurship. Establish, organize, and coordinate procedures and processes related to documentation, communication, and board management platform administration.

JOB RESPONSIBILITIES:

  • Serve as the CEO’s representative in dealings with third parties
  • Serve as the Secretary of the Boards of Trustees
  • Research and direct special projects for the CEO and Boards of Trustees
  • Provide research to support the CEO’s speaking engagements and panel discussions
  • Prepare, edit, prioritize, and proofread documents of varying sensitivity for the CEO, Board of Trustees, Advancing Youth Initiative (Foundation), and staff. Provide editorial review of all public communications
  • Support the Board of Trustees by preparing documents for Board meeting distribution and maintaining Board of Trustees policies and procedures.
  • Support the Advancing Youth Foundation
  • Manage the calendar of the CEO
  • Coordinate speaking engagements for the CEO
  • Responsible for making business travel arrangements for the CEO
  • Support the CEO with tracking, correspondence, reports, and research
  • Be available for morning check-ins with the CEO
  • Meet with the CEO two times per month
  • Liaise with internal staff and external contacts to schedule, communicate, set up physical space, and arrange food for events taking place in and outside of the workplace, including Board events, meetings, staff appreciation events, fundraising events, etc.
  • Provide superlative communication to internal and external stakeholders
  • Prepare agenda, minutes, and other documentation for School Board Meetings
