Responsibilities
  • Scheduling/Calendar Management
  • Manage and maintain executive’s active schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
  • Works closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities.
  • Monitors CEO’s and other Executives’ personal calendar(s) and aligns it with their work calendar(s).
  • Communications
  • Answer and screen/direct calls to appropriate executives and parties, taking messages when necessary.
  • Monitor, screen, respond to and distribute incoming communications.
  • Managing executive email inboxes, including direct response to scheduling related items.
  • Read and analyze submissions, letters, agendas, memos, and to determine significance, route to the appropriate personnel in a timely and efficient manner.
  • Attends various executive meetings to manage notes, strategic planning documents and communicate follow-up and action items to the appropriate people.
  • Administrative Support
  • Research information and draft letters and documents.
  • Assist executives in preparation and delivery of presentations.
  • Prepare meeting agendas for the CEO.
  • Provide clerical and general office support. Delegate tasks and responsibilities to other staff members when appropriate.
  • Maintain records management and recommend changes to records system when appropriate.
  • Manage Shareholder and BOD Activities
  • Liaise with board members to schedule meetings as well as prepare and distribute materials.
  • Maintain minutes for all BOD and Shareholder meetings.
  • Ensure meeting logistics are handled for all BOD and Shareholder meetings, including social outings.
  • Manages the prospective shareholder process.
  • Assist with stock transactions, execution of agreements, coordination with banking partner, audit of stock register with bank and attorney.
