  Job Title   Executive Assistant to President Malls (Sr. Manager level position)   Position reports to     President Malls External / Internal Interface (Enlist external agencies/authorities that you are required to deal with while discharging your duty) Internal teams of various functions like Marketing, Operations, Finance & Accounts, Leasing Vendors / External Consultants Minimum Qualification (i.e education, training etc.) ·MBA – Finance (preferred) or Sales & Marketing / Business Analytics from premium institute Knowledge of AI tools & its applications will be an added advantage     Minimum Experience   4 years of relevant experience in Retail, Shopping Malls, Business Development, leasing, MIS, Operations, Marketing.    Special Skills/Attributes (required for performing the job effectively) 1. Effective communicator, demonstrates active listening, articulate communication skills (spoken and written English)  2. Comfortable with Numbers and ability to analyze and draw logical inferences and provide material inputs 3. Report Building, MIS, Excel expert, dynamic formats, presentation (making and delivering) and formulae skills 4. Creating Dashboards for management reports  5. Business Acumen and hungry to learn more 6. Calendar keeping, meeting and general Admin abilities 7. Information processing - gathering and organizing complex information from several sources 8. Application of AI tools (Advantage) Overall, Purpose/Objective Of the job Support the President Malls by facilitating the information through effective data collection, analysis required for business decisions, minuting important notes and conversations, follow up on important matters with multiple teams, maintain trackers for critical tasks, manage calendar / meetings, provide logical inputs helping generation of solutions for various business issues; review status reports and manage general admin requirements. Lead audits of the implementation of processes, identify gaps and present back to President Malls. Key Responsibilities (List major responsibilities, that you have, to achieve the key objectives) * Support in preparation of KPI reports and analysis of all Centres. * Assisting the President Malls with presentations and reports for all Key performance Indices  * Validating files and making excel reports by Vlookup, conditional formatting and formulas of excel / advance excel * Monitor, analyse and drive insights, and make recommendations based on various weekly, monthly and annual reports from all departments * Assisting the President Malls with calendar management and scheduling meetings with HODs, Head Office to ensure effective daily schedules and attendance * Drafting and preparing correspondence on behalf of the President Malls as and when required * Collating reports and documents for the weekly and monthly meetings as per the instructed timeline * Maintain and refine internal processes that support to the team & management, coordinating internal resources to expedite workflow. * Manage communication between upper management and employees, liaising with departments on various projects, events, and tasks. * Undertake regular follow-up on proposed action items of various departments and escalate issues wherever required. * Plan and orchestrate work to ensure the senior members’ priorities are met, organizational goals are achieved, and best practices are upheld * Prepare detailed spreadsheets and presentation material for top management meetings * Co-ordination with Travel Desk and Admin for all logistics, managing his documentations, HRMS. * Accompanying President Malls in internal and external meetings as and when instructed or required
