Description

We are seeking a highly organised and proactive full-time Executive Assistant to support the Managing Director of a growing private healthcare admin company. This is a hybrid role requiring both remote work and regular attendance at our Bristol office.
You’ll play a vital role in the smooth running of the business, providing high-level admin support, managing internal processes, and ensuring staff and client onboarding is handled professionally and efficiently.

REQUIREMENTS

  • Full-time availability (Monday–Friday).
  • Experience as an Executive Assistant or in a similar high-level admin support role.
  • Excellent written and verbal communication skills.
  • Strong time management and organisational abilities.
  • Tech-savvy and confident using Outlook, Teams, Excel, and cloud-based platforms (Carebit experience is a bonus).
  • Comfortable working both independently and in a team environment.
  • Based in or near Bristol, with the ability to work from the office regularly.
    You’ll be a key point of contact across the business, trusted with sensitive information, and expected to use discretion and initiative. This is an exciting opportunity for someone looking to grow within a supportive and dynamic company.
Responsibilities
  • Email and diary management for the Managing Director – flagging priority messages, drafting responses, and scheduling meetings.
  • Onboarding new consultants and staff, including sending welcome communications, setting up internal documentation, and managing onboarding trackers.
  • Requesting and managing staff logins for hospital systems and internal platforms.
  • Organising internal staff events and managing RSVPs, venues, and logistics.
  • Managing staff expenses – collecting receipts, tracking claims, and updating expense logs.
  • Answering overflow calls during busy periods and taking professional, accurate messages.
  • Following up with staff to ensure tasks are completed on time and escalating delays where necessary.
