Help us by providing high-level executive and project management support to the CEO, ensuring priorities are clear, projects stay on track, and operations run smoothly across the organization and related properties. In this role you will: Manage the CEO’s calendar, meetings, and correspondence with exceptional attention to detail. Prepare agendas, take notes, and follow through on action items from executive meetings. Handle confidential documents and sensitive communications with discretion and professionalism. Coordinate purchases, process invoices, and manage payments to vendors and contractors. Schedule and oversee general building maintenance, ensuring the office operates efficiently. Oversee small portfolio of company properties from listing to lease execution—handling advertising, tenant screening, RentRedi management, and maintenance coordination. · Act as the project manager for the C-suite—tracking goals, milestones, and deliverables across multiple departments. · Lead progress check-ins and follow up with executives to ensure accountability and momentum. · Build and maintain organizational systems that improve workflow and project visibility. · Run occasional personal or office errands as needed to support the CEO and executive team. Key Strengths & Competencies: Strategic organization: You manage time, tasks, and projects with precision, ensuring nothing slips through the cracks. Executive communication: You write and speak with clarity, professionalism, and confidentiality. Project management: You can take an initiative from concept to completion, managing people, deadlines, and deliverables along the way. Systems thinking: You build structure and processes that bring efficiency to complex workflows. Accountability: You’re confident in holding senior leaders to commitments while maintaining strong relationships. Decision-making: You act with sound judgment, knowing when to move forward and when to escalate. Property operations acumen: You understand leases, maintenance coordination, and tenant communication. Tech fluency: You’re comfortable with productivity tools (Microsoft 365, RentRedi, Project Management Software, etc.). Discretion & trustworthiness: You manage sensitive financial and personal information with care. Requirements · 5+ years’ experience in executive support, administrative management, or project management. · Manage multiple projects simultaneously with competing deadlines and priorities. · Develop project plans, timelines, and milestone schedules for executive-level initiatives. · Facilitate leadership meetings, capture outcomes, and ensure next steps are assigned and tracked to completion. · Build accountability systems that help executives and department leaders stay aligned with organizational goals. · Use project management tools to assign tasks, monitor progress, and maintain visibility. · Communicate proactively about project risks, dependencies, and resource needs. · Coordinate across departments to remove obstacles and maintain forward momentum on critical projects. · Track budgets and expenses related to project execution, ensuring alignment with organizational priorities. · Maintain detailed records of decisions, deliverables, and status updates for leadership · Apply structured problem-solving and continuous improvement thinking to streamline workflows. · Background in property management or real estate support preferred. · Prior experience supporting C-level leadership or entrepreneurs with diverse business interests.
