OVERVIEW

We are seeking a highly organized and proactive Executive Assistant to provide dedicated administrative and operational support to our Executive Leader within a fast-paced healthcare environment. The ideal candidate will possess exceptional communication skills, meticulous attention to detail, and the ability to manage multiple priorities with discretion and professionalism. This role is essential in ensuring the smooth operation of the executive’s schedule, communications, and strategic healthcare initiatives.

QUALIFICATIONS

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role (healthcare or medical office experience strongly preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with QuickBooks or similar bookkeeping software is a plus.
  • Familiarity with EHR/EMR systems and basic medical terminology preferred.
  • Understanding of HIPAA and healthcare compliance requirements.
  • Strong organizational skills and the ability to manage multiple priorities in a deadline-driven environment.
  • Excellent verbal and written communication skills, with a professional and approachable demeanor.
  • High level of discretion, integrity, and confidentiality.
  • Strong attention to detail and accuracy in all work.
  • Experience with DocuSign and project management tools is an advantage.
    Job Type: Full-time
    Pay: $36,000.00 - $60,000.00 per year

Responsibilities
  • Provide high-level administrative support to the COO, including calendar management, meeting scheduling, and travel arrangements.
  • Prepare agendas, take detailed meeting minutes, and track action items for leadership and project meetings.
  • Assist with coordinating special projects and initiatives, tracking deadlines, and ensuring deliverables are completed on time.
  • Manage confidential and sensitive information in compliance with HIPAA and organizational policies.
  • Draft, edit, and format professional correspondence, reports, and presentations using Microsoft Office and Google Workspace.
  • Coordinate events, meetings, and conferences, including vendor management, logistics, and materials preparation.
  • Support healthcare operations by liaising with internal teams on priority initiatives.
  • Assist with document management, contract tracking, and obtaining signatures via DocuSign.
  • Maintain organized electronic and physical filing systems, including policies, procedures, and compliance documentation.
  • Perform data entry and basic bookkeeping tasks, including expense tracking and vendor invoices (QuickBooks experience preferred).
  • Monitor and prioritize incoming communications, including emails, calls, and messages.
  • Conduct research and compile information to support executive decision-making.
