Responsibilities

ABOUT THE ROLE:

As an Executive Assistant, you’ll play a strategic role in shaping the success of our Global Expansion division. As the right-hand to our EVP, Global Expansion, you’ll be at the forefront of innovation, driving efficiency, and ensuring seamless operations across all fronts, supporting a Global team.

WHAT YOU’LL DO:

Strategic Calendar and Email Management

  • Utilize expert-level skills to strategically manage the leader’s calendar and email inbox, ensuring optimal efficiency and productivity.
  • Ensure the leaders’ attendance at meetings with thorough preparation and timely provision of necessary information.

Meeting Support and Communication:

  • Act as a key presence in meetings, taking comprehensive notes, and disseminating critical information and action points to all stakeholders.
  • Drive heavy and strong communication internally and externally, fostering efficient ways of working for the executive.

Presentation and Project Management:

  • Demonstrate proficiency in creating professional presentations with minimal guidance, leveraging department knowledge and strategic insights.
  • Lead special projects with precision, executing logistics and maintaining project logs to track progress effectively.

Travel and Event Coordination:

  • Manage domestic and international travel arrangements with finesse, ensuring seamless experiences for the leader/executive.
  • Organize and provide onsite support for events, handling location scouting, vendor communication, and logistics coordination.

Network and Stakeholder Collaboration:

  • Leverage a large network to execute responsibilities effectively, building relationships and collaborating with other EAs across the business.
  • Provide guidance and support to other EAs and Management Assistants, driving excellence in support functions across the company.

Expense and Invoice Management:

  • Oversee expense management processes, ensuring timely completion and approval of expenses in Concur.
  • Raise purchase orders and manage invoice processing, pre-reviewing invoices pending leader approval, and ensuring timely processing.
