Role Overview We are looking for a highly skilled and experienced Executive Assistant to provide consistent, high-level administrative support to the Executive Vice President, Research and Development and Innovative Medicines. This role requires a proactive, detail-oriented professional who thrives in a fast-paced, growing company and can balance multiple priorities with discretion and efficiency. Key Responsibilities Serve as the Personal Assistant to our EVP: calendar management, travel and expense arrangements, stakeholder communication, and handling confidential information. Calendar & Meeting Management: coordinate schedules, organize leadership team meetings, and ensure timely communication and follow-ups. Travel Coordination: arrange domestic and international travel, including flights, accommodation, and itineraries. Leadership responsibility: lead Orion Pharma’s Administrative Assistant Team Lead and develop our services and processes together with them. Success in this role is defined by your ability to manage complex schedules, navigate competing demands, maintain confidentiality and professionalism, and support both individual and team objectives with a collaborative, solutions-oriented mindset. This position is based in Espoo, with the flexibility to work in a hybrid model in accordance with Orion’s guidelines and business needs. Our Expectations We are looking for someone who thrives in a dynamic environment and enjoys handling a variety of tasks. You should have: Bachelor’s degree (preferred) or equivalent relevant experience Concrete experience providing administrative support to executive-level leaders, preferably in a complex, multinational company Proficiency with Word, Outlook, Excel, PowerPoint, SharePoint, and Teams Excellent communication skills, with a strong command of both verbal and written English and Finnish Discretion in handling confidential and sensitive information, including negotiations with external parties and legal documents A proven track record of excellent, service-oriented interpersonal skills, with the ability to develop effective, collaborative relationships across a diverse, global organization A proactive, results-driven approach; strong planning, prioritization, problem-solving, and organizational skills; and a flexible, adaptive, and resilient mindset The ability to work independently, stay organized, and demonstrate a strong sense of responsibility The capacity to manage the stress of complex scheduling and frequent changes, prioritizing and handling multiple tasks efficiently A self-motivated and resourceful personality, able to anticipate needs and devise solutions to evolving scheduling and travel requirements Previous experience in developing and leading administrative work in a large global corporate Additional Information Is this the opportunity you have been waiting for?
