Description

We are currently receiving applications for one (1) Executive Assistant that will work in a full-time temporary capacity until March 31, 2026. This position will be based at 312 Parkdale Avenue.

JOB SUMMARY

The Executive Assistant reports directly to the Chief Executive Officer (CEO) of Rideauwood, and works with the Leadership team, as well as staff, Board members, and other stakeholders. The incumbent must ensure clear and concise communication and overall flow of information between the CEO, the Leadership Team, the Board of Directors, staff, and other stakeholders. This position is challenged with managing a very active schedule for the CEO, ensuring that everything is accomplished in a timely manner, determining and negotiating priorities with stakeholders, and ensuring that nothing “falls through the cracks”. Interruptions are inherent in this environment. The incumbent must be able to regain focus quickly. The incumbent is expected to endorse organizational values, to adhere to policies and procedures, to be consistently informed of the CEO’s activities, who is available to respond to questions and provide approval where required for unusual circumstances. The performance of this role has a direct impact on the efficient operation of the organization and the CEO’s ability to carry out their functions. The incumbent is also responsible for supervising the reception area.

EDUCATION, TRAINING, AND EXPERIENCE

  • Post-secondary degree or diploma from a recognized university or community college essential.
  • Three years recent, related experience including at least one year of experience in a more senior administrative assistant level essential.
  • Recent, related experience in a supervisory role essential.
  • Experience in carrying out broad assignments including planning, coordinating and facilitating large and small meetings.
  • Demonstrated capacity to use, and experience in the use of software including but not limited to Microsoft Word, Microsoft Excel, PowerPoint, and Outlook.
  • Working knowledge of voluntary sector governance practices. * Demonstrated ability and experience in the taking of minutes, writing briefing notes, and writing policies.
  • Ability to perform research and gather information from a variety of sources, organizing findings and exercising critical appraisal skills.
  • Strong administrative and organizational skills and the capacity to work under pressure with excellent attention to Page 3 of 2 detail.
  • Experience with data collection, data management and data reporting.
  • Oral and written fluency in English is essential. Oral and written fluency in French is an asset. Preference will be given to a candidate that demonstrates fluency in both official languages.
  • Demonstrated ability and experience in maintaining a high level of confidentiality around sensitive information.
  • Ability to build sound relationships both internally and externally. * Personable, demonstrates initiative, team oriented.
  • Ability and willingness to work within regular office hours – with occasional evening hours –totalling 37.5 hours per week. This schedule may change from time to time, so flexibility is also required.
