Job Description What is the opportunity? As an Executive Assistant, you play a critical role by providing direct support to the senior leadership team within RBC. This role will support two Vice Presidents, the VP, Commercial Digitization and the VP, Everyday Banking Sales & Service. You will be accountable for managing schedules, expenses, departmental events and executive correspondence to ensure the effectiveness of the executive leadership team. In addition, you will liaise with RBC Leadership and business partners on behalf of the leadership team, follow-up on action items, maintain calendars, coordinate travel arrangements, maintain and organize files, prepare correspondence and other presentation materials, and prepare / act as a pre-verification officer for department expense reports. What will you do? Provide executive administrative assistance in support of the executives, maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline-driven environment. Maintain master copies of organizational policy and procedure manuals Manage and maintain calendars, coordinate meetings, conferences, and travel arrangements for the supported executives Plan and coordinate internal and external meetings and events: senior management team meetings, offsites, roundtables, Town Halls, tech demo days/hackathons, and other team meetings, including facilitation of WebEx meetings and speaker presentations on PowerPoint. Develop agendas, materials and routines, including action items and follow ups. Contribute to increasing employee engagement across the team of the supported executives, helping organize team socials, volunteering, and other activities to help the team feel connected to and proud to be part of RBC. Act as the Executives’ delegate for email and phone mail Research and respond to routine inquiries and requests Prepare material for daily schedules and meeting bookings Coordinate, administer, and manage department logistics, conducting a monthly audit reconciliation of travel and other expenses, supplies, telecommunications, equipment, and premises requirements, updating Vacation and Absence Management System, and producing / distributing monthly away lists Manage correspondence and reporting, responding and prioritizing as appropriate and with discretion, assisting as primary liaison for the VP with senior internal and external stakeholders Collaborate with other EAs, working as a team within clusters, providing leadership support and for relief purposes What do you need to succeed?
