OVERVIEW: The Executive Assistant provides high-level administrative and organizational support to senior management. This role requires a proactive, resourceful, and detail-oriented professional with exceptional communication skills and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will demonstrate discretion, sound judgment, and professionalism while handling sensitive information and building trusted relationships across all levels of the organization. ESSENTIAL DUTIES AND RESPONSIBILITIES: Executive & Administrative Support Provide comprehensive administrative support to executives, including calendar management, correspondence, and document preparation. Draft, edit, and format reports, presentations, and communications with accuracy and professionalism. Manage incoming inquiries, ensuring timely responses with discretion and tact. Anticipate needs of executives and take initiative to address issues before they arise. Build strong relationships at all levels of the organization and manage a variety of special projects. Organize office operations, procedures, and other related activities to ensure efficient workflow. Meeting & Event Coordination Plan, schedule, and coordinate meetings (onsite and virtual), ensuring all logistics are managed, including agendas, materials, and follow-up on action items. Organize company events, meetings, and executive off sites as needed. Order and setup company’s sponsored meals as requested. Travel & Expense Management Coordinate complex domestic and international travel arrangements, including flights, hotels, and ground transportation. Prepare and reconcile travel and expense reports in Concur or equivalent systems. Board Support Act as liaison to the Board of Directors, managing logistics for board and committee meetings. Coordinate meeting schedules, prepare and distribute board packages, and track approvals and consents. Maintain accurate records of corporate governance documents and ensure secure file management. Other Responsibilities Handle confidential information with the highest level of integrity. Support special projects and HR initiatives as assigned. Represent the executive team with professionalism in all internal and external interactions. All other duties as assigned or necessary. Requirements REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Excellent interpersonal and verbal/written communication skills are required. Advanced skills Microsoft Office (Outlook, Word, Power Point) are required Videoconferencing platforms (Zoom, Teams). Ability to prioritize assignments, meet critical deadlines, and manage multiple projects in a fast-paced environment. Ability to maintain confidentiality and exhibit discretion. Ability to work well with all levels of internal employees. SUPERVISORY RESPONSIBILITIES: None EDUCATION, EXPERIENCE, and TRAINING: Bachelor’s degree preferred. At least 3 - 5 years of related experience required. Experience supporting corporate functions (e.g. Finance, HR, Legal, Operations). Public company experience as an Executive Assistant or Administrative Assistant to the senior management team. Proven experience arranging heavy domestic and international travel. Expertise in complex calendar management and meeting coordination across multiple time zones. Experience working with Boards of Directors. Training to be completed per the training plan for this position as maintained in the document control system. The training requirements on TRN-10007 Insider Trading Policy, TRN-10008 Global Anti-Bribery and Anti-Corruption Policy and TRN-10009 Code of Business Conducts and Ethics must be diligently completed within 30 days from the hiring date and on an annual basis.
