Job Summary: Reports to the Director, Human Resources while supporting the Executive Team members. Use a thorough understanding of the organization to effectively relieve the Executive Team of administrative decisions. Demonstrate ability to diplomatically handle highly confidential and technical material. Develops and prepares presentations and reports. Effectively interact with all levels of agency staff, board members, and the public. Exercises sound judgement in matters involving major Agency decisions and future plans. Will plan, organize, and carry out own work with minimal direction. Primary Functions: (These are examples of the duties assigned to this position and not an all-inclusive) Organize, manage and perform a variety of responsible confidential secretarial/support duties such as managing the Director’s calendars, meetings, travel, and correspondence with staff, community agencies, consumers and families, and providing reminders as necessary. Attend Executive Staff meeting while preparing the agenda, minutes, materials, location and room set up. Provide information to the public in response to telephone inquiries, using knowledge of Regional Center system. Acts as liaison with community, handles situations effectively and determines which questions or problems to route to the appropriate staff to assure resolution of issues in a timely manner. Back up to coordinate board and committee meetings and follows up with appropriate individuals regarding action items for future meetings. Back up to attend and takes minutes for Board and Board Committee meetings (which at times will include after hours and weekends). Maintain files and records in compliance with established procedures and standards to ensure completeness, confidentiality and easy retrieval. Provides clerical support as needed with presentations and sensitive matters such as employee appeals, grievances, vendor appeals and lawsuits. Compose correspondence from brief instructions, marginal notes and/or own knowledge of resources. Complete forms, reports, statistics and special projects, using word processing/computer equipment, in an accurate and timely manner. Screen incoming phone calls, handle as appropriate, and refer to proper individuals when necessary. Track contracts Receive mail daily, review and distribute timely and properly. Arrange company related travel arrangements. Other duties as assigned. Knowledge, Skills, and Ability: Knowledge of office practices and procedures, including but not limited to, filing, grammar, spelling, punctuation, composition and record keeping. Excellent keyboard/typing skills. Ability to perform basic arithmetical computations. Operate standard office equipment. Proficiency in word, excel, power point applications. Ability and interest to keep abreast of new software programs. Public speaking/presentation skills. Ability to work some Saturdays and evenings. Requirements Minimum Qualifications: High school graduate with secondary school level courses, BA degree preferred. Four years of increasingly responsible secretarial/assistant work, including two years as secretary/assistant to the head of a large department/agency. Regional Center experience preferred. Experience with public contact and ability to work independently.

Responsibilities
