EXPERIENCE:

  • 6 years as an Executive Assistant, including 3+ years supporting C-level executives
  • Background in corporate, financial, or tech environments preferred
  • Bachelor’s degree in Business Administration, Finance, Communications, or a related field is preferred

Responsibilities

Executive Partnership: Provide comprehensive, proactive administrative and strategic support to the Chief Information Officer, optimizing their effectiveness and efficiency. This includes:

  • Travel Arrangements: Manage complex travel itineraries, including flights, accommodations, and ground transportation
  • Calendar Management: Manage complex calendars, ensuring optimal use of executive time by prioritizing meetings, anticipating conflicts, and coordinating across global time zones
  • Meeting Scheduling & Coordination: Prepare agendas, materials, and minutes for executive meetings; track and follow up on action items
  • Communication: Act as a key point of contact between Executive Leadership and internal/external stakeholders, ensuring clear and effective communication
  • Relationship Management: Build and maintain strong relationships with key stakeholders, both internal and external to the organization
  • Document Management: Draft, review, and manage correspondence, expense reports, presentations, and other documents as required
  • Project Management: Assist in the coordination and execution of special projects, including financial analysis, reporting, and cross-departmental initiatives. Assist with budget management
  • Time Management: Prioritize and manage multiple tasks and deadlines, ensuring the Executive Leadership’s time is used effectively and efficiently
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality
  • Event Planning: Organize and coordinate company events, meetings, round tables, and conferences, including logistics and on-site support
  • Support Team Collaboration: Collaborate with other executive assistants and team members to ensure seamless office operations
