JOB SUMMARY

Circle Square Foundation is seeking a multi-skilled and highly organized experienced Executive Assistant, Senior to join our team. This role is essential in providing various advanced, diversified, confidential and moderately complex administrative support for Circle Square Foundation.

QUALIFICATIONS

  • An Associate degree from an accredited college or equivalent vocational/technical training, and five (5) years advanced administrative experience, or an equivalent combination of training and experience which provide the required knowledge, skills, and abilities.
  • Dependent upon education and previous experience, may underfill as an Executive Assistant.
  • Experience with non-profit or public sector organizations preferred.
  • Comprehensive knowledge of administration, organization, policies, practices, and programs.
  • Strong ability to ethically manage sensitive and confidential information is required.
  • Knowledge of human resources management philosophy, principles, practices, and strategies.
  • Strong problem solving skills to assess and resolve problems or issues by gathering and assessing information, taking advice, and using judgment that is consistent with standards, practices, policies, procedures, regulations or law.
  • Strong organizational skills to plan, prioritize, multi-task and independently execute projects/tasks within specific deadlines while maintaining flexibility.
  • Excellent written and oral communication skills as demonstrated by the ability to articulate complex information and issues clearly and concisely.
  • Strong interpersonal skills as demonstrated by the ability to interact collaboratively and productively and to build effective relationships with individuals of diverse backgrounds, including staff employees and members of the general public.
  • Ability to recommend centralized processes and procedures to promote organizational efficiencies and effectiveness.
  • Demonstrated knowledge of personal computers and related departmental software, including but not limited to, Excel, Word, PowerPoint and Access.

Responsibilities
  • Serves as a full-time onsite office presence to support administrative duties which include meeting coordination and scheduling, ordering office supplies, maintaining office correspondence and providing administrative support to the Executive Director which includes adhoc reporting and tasks on a needed basis.
  • Provides administrative support to special boards, prepares meeting agendas, photocopys and/or assembles back-up documentation, prepares agenda items, schedules applicable meetings, and transcribes meeting minutes.
  • Serves as the primary gatekeeper to develop, review and maintain vendor agreements and contracts for services, supplies, materials and equipment, request for proposals, contract specifications and scope of work, and manages vendor credentials to include verification of insurance requirements and applicable tax documents on behalf of Circle Square Foundation and its entities.
  • Assists with drafting, modifying, and interpreting administrative and operational policies, guidelines and procedures; assists in the proofing, drafting, and distribution of moderately complex documents; researches, reviews, develops, compiles and maintains detailed and specialized information for reports and department work processes.
  • Provides administrative assistance with various human resources tasks to include submission of payroll, employee personnel files management, conducting background checks, employee onboarding/offboarding, employee recognition initiatives, compliance reporting and performance reviews.
