JOB SUMMARY

As Executive Assistant, you’ll be the right hand to our CEO. You’ll manage schedules, meetings, and day-to-day operations, while also being trusted to step into new processes as the agency grows. The role requires someone who’s proactive, confident in their judgment, and ready to go beyond the “standard” job description to help the team succeed.

Qualifications

  • Bachelor’s degree preferred
  • 3–5 years of experience supporting senior or C-level executives
  • Strong organizational skills with the ability to juggle multiple priorities
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with CRM tools, email marketing platforms, and social media is a plus
  • Exceptional written and verbal communication skills
  • Professional maturity and confidence when working with executives and high-profile clients
  • High attention to detail, discretion, and judgment in handling sensitive information
  • Self-starter with a collaborative, positive attitud
Responsibilities
  • Manage the CEO’s schedule, logistics, and correspondence
  • Coordinate internal and external meetings and keep communication flowing smoothly
  • Prepare documents, briefing notes, and follow-ups to keep projects on track
  • Assist with travel arrangements and event planning
  • Provide executive administrative support including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Organize and plan events, ensuring all logistics are handled seamlessly.
  • Manage office operations, including filing systems, data entry, and clerical tasks to maintain an efficient work environment.
  • Maintain client and contact relationships in our CRM - bonus if you know how to use HubSpot and/or SeamlessAI softwares
  • Quickbooks knowledge to oversee part-time Bookkeeper
  • Act as a trusted proxy for the CEO when needed, representing her priorities clearly and professionally
  • Track deadlines and project progress to ensure nothing falls through the cracks
  • Help organize business development activities, client communications, and agency events
  • Support the rollout of new processes and tools as we expand
  • Write with polish and attention to detail, from professional emails to presentation materials
