Position Summary: Job Summary: The Executive Assistant provides administrative support to the C-Level Executives and their leadership teams. This role anticipates, initiates, coordinates, and follows through on a wide range of activities and projects. This position will have access to and regularly work with information of a sensitive, confidential, and critical nature. This position interacts with all levels of employees and management. Essential Responsibilities / Duties Anticipate needs and provide high-level, tailored support to executives Serve as a liaison with the executive’s direct reports, members of the senior executive team and others throughout the company on scheduling, projects and requests to ensure the executive has required information Manage/maintain complex and dynamic executive schedule, calendar, and appointments; facilitate complex calendar of appointments, using strong time management skills, across several time zones and countries Compose and prepare e-mails, correspondence, memos, PowerPoint presentations, reports and confidential materials. Organize, prioritize, and summarize the content of incoming mail, e-mails and materials Coordinate internal and external meetings and events, board material preparation support, ensuring all multi-media tools, handouts, agendas, minutes and follow up items are arranged appropriately and in advance In the executive leader’s absence, coordinate the timely communication of requests, issues, problems or other action items to appropriate members of management Execute administrative activities with high attention to detail and organization Support the team in a coordinator capacity on required activity, projects, and administrative processes Be a part of an overall team; coordinate and plan within the function to ensure continuity and maintain standards Minimum Requirements High School Diploma/GED or higher from an accredited institution and 1-3 years of related experience or equivalent Excellent written/oral communication with the ability to manage through ambiguity and interact effectively with team members and internal customers at all levels with professionalism, tact, and diplomacy Self-starter, able to work independently, organized, resourceful and proactive Strong background in Microsoft Office Suite or related software Excellent organizational and time management skills with the ability to simultaneously handle multiple projects and meet competing deadlines Able to understand and adapt to rapidly changing priorities and environments Comfortable working in a role with frequent interruptions and time-sensitive deadlines Integrity in handling confidential and sensitive information Demonstrated skill working effectively with minimal supervision Preferred Experience 2+ years of previous experience supporting an Executive Level leader experience in a fast-paced environment in a software technology industry is a plus 4-year degree Location: This role follows a hybrid work model, with regular in-office presence required at our Melbourne office (Tuesdays - Thursdays) What We Offer: At SPS Commerce, we are committed to ensuring that each employee's compensation reflects their unique experiences, performance, and skills in their role. The salary range for this role considers several factors, including education, relevant skills, work history, certifications, location, and more. The annual salary range for this role is: $54,500- $79,000 AUD. The actual salary offered will be determined based on the factors listed above and may fall anywhere within the range.
