As the Executive Assistant, you will be the organizational heart of the Finance Department — supporting the Director of Finance, coordinating critical information, and keeping one of the Nation’s most essential departments running smoothly. This role is ideal for someone who is proactive, relationship-oriented, highly organized, and committed to contributing to the financial strength and well-being of the Nation. You are someone who is always one step ahead, anticipating needs, adapting to different communication styles, and navigating complex information with diplomacy and cultural humility. Your work directly supports nation-building, transparency, accountability, and the financial health of the community. WHAT YOU’LL DO * Provide comprehensive executive support to the Director of Finance. * Manage the Director’s calendar, meetings, travel arrangements, and daily scheduling needs. * Serve as the primary point of contact for internal and external stakeholders, ensuring respectful, timely communication. * Anticipate needs, prioritize information flow, and ensure the Director is informed and prepared. * Attend meetings to provide support, take minutes, assist with presentations, and coordinate follow-ups. * Manage and maintain departmental records, archives, and documentation systems. * Support staff, Council, and community members requiring assistance accessing archival materials. * Coordinate information, reports, and documentation across Finance and IT initiatives. * Draft correspondence, briefing notes, policies, presentations, and reports. * Relay information clearly and diplomatically to staff, members, and external partners. * Maintain organized files, communication logs, and confidential documentation. * Support information dissemination to the community through written and verbal updates. * Provide day-to-day direction to the main office Receptionist. * Track departmental performance updates and reporting processes. * Support departmental safety procedures by maintaining an organized, safe working environment. * Maintain data accuracy across departmental systems and archives. * Coordinate record storage and destruction according to Nation policies. * Ensure confidential, ethical handling of sensitive information. WHAT WE’RE LOOKING FOR * Bachelor’s degree in Business Administration, Finance, First Nations Studies, Legal Administration, or a related field. * Willingness to complete job-required training in project management, executive support, senior administration, Squamish culture, and Squamish language knowledge. * Progressive experience supporting executives, managing communications, developing reports, or coordinating senior-level projects. * Strong writing, research, and analytical skills; experience producing formal corporate documents. * Experience working in First Nations, government, Board, or public sector settings is preferred. * Knowledge of Squamish Nation culture, histories, Skwxwú7mesh Snichim, and community priorities. * Cultural humility and respect for Sḵwx̱wú7mesh values, sovereignty, and self-determination.
