JOB OVERVIEW:

We are seeking an organized, proactive, and detail-oriented Executive Assistant to support the senior leadership team within the plumbing and mechanical industry. The ideal candidate will provide high-level administrative support, support with executive schedules, handle communications, and contribute to various operational tasks and projects.
The Executive Assistant will play a critical role in ensuring smooth and efficient business operations, helping to coordinate multiple projects, meetings, and initiatives. This position reports directly to the VP of Operations and President, however, will collaborate with Suppliers, Project Managers, Foreman and many other departments.

QUALIFICATIONS REQUIRED:

  • Proven experience as an Executive Assistant or in a similar administrative role, preferably within the construction, plumbing, or mechanical industries.
  • Excellent organizational, time-management, and multitasking skills.
  • Bilingualism is required in English and French, strong written and verbal communications.
  • Proficient in Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint) and other office softwares.
  • Ability to handle sensitive information with professionalism and confidentiality.
  • Knowledge of the plumbing and mechanical industries is a plus, or willingness to learn.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and collaboratively within a fast-paced environment.
  • Demonstrates a positive attitude and leads by example in all professional skillsets.

Responsibilities:

  • Assistant support to President (emails, coordination, follow up calls on urgent projects, contact Suppliers for coordination or pricing etc).
  • Help compose and draft communications via email or other platforms
  • Support the President with Union based communications and document control
  • Provide support in our softwares for the Foremen field group (Specific softwares include ACC and Smartsheet but limited to these. Open to training on these softwares as an administrator.
  • Continue to assist Operations team to train and support new Foremen and Project Mangers in their roles
  • Prepare Manpower Planning on a weekly basis
  • Provides support to the APM and Construction Manager as needed for purchasing requirements
  • Partner with VP on Marketing initiatives including social platforms, website development and maintenance. Also shows an interest with community involvement and charity campaigns.
  • Organize and coordinate Start-up meetings (internal stakeholders only)
  • Assist Senior Executive Team with all new company initiatives and provide ongoing support and partnerships with all departments.
  • Ad-hoc projects
